Policy Overview

Purpose & Statement

digiTIES is an accredited, private, non-profit Islamic online school serving students in Grades 1–12. This policy establishes clear, equitable, and legally compliant enrollment and admissions procedures. digiTIES welcomes students globally and is committed to providing a rigorous, values-centered education to all admitted students within the school’s capacity to serve them appropriately.

Scope & Who This Applies To

This policy applies to all prospective students seeking enrollment in digiTIES and all currently enrolled students and their families. It governs new enrollment, re-enrollment, withdrawal, and transfer of records.

Key Definitions

Enrollment: The formal process by which a student is admitted to and registered in the digiTIES program for a specific academic year.

Re-Enrollment: The annual process by which a currently enrolled student confirms their return for the following school year.

Withdrawal: The formal process by which a student or family terminates enrollment before the end of the school year.

Admissions – Eligibility & Requirements

Grades Served

  • digiTIES serves students in Grades 1–12.
  • Grade 1 entry requires the student to be six (6) years old on or before August 31st of the enrollment year.
  • Enrollment is based on availability and grade-level openings. Admission is not guaranteed.

Non-Discrimination Policy

digiTIES admits students without regard to race, color, national origin, gender, ethnicity, disability, or any other consideration made unlawful by federal, state, or local laws. Equal educational opportunities are available to all students within the school’s capacity to provide appropriate support.

Students with Special Needs

digiTIES will make reasonable accommodations to support the full participation of students with identified special needs. If the school does not have resources sufficient to meet a student’s needs, the family will be formally notified in writing and referred to more appropriate resources. Enrolled families with special needs students must disclose relevant information at enrollment to enable appropriate planning.

Enrollment Procedures

New Student Enrollment

  1. Complete all required enrollment forms via the digiTIES enrollment portal.
  2. Submit all required documentation (see documentation list below).
  3. Pay the non-refundable enrollment/registration fee before the student’s first day.
  4. Review and sign the Family Handbook Acknowledgement.
  5. Complete the required technology setup and orientation checklist.

Required Documentation at Enrollment

  • Completed enrollment application (all fields)
  • Copy of birth certificate or passport
  • Proof of prior schooling (transcript or report card from most recent grade)
  • Immunization records (as required by applicable law; medical or religious exemptions documented)
  • Signed tuition and financial agreement (ADM-006)
  • Emergency and authorized release contacts form
  • Media consent form (photo/video – opt-out for digiTIES online use)
  • Any relevant special needs, medical, or custody documentation

Annual Re-Enrollment

Current families receive re-enrollment information each spring. Re-enrollment is not automatic. Families must complete re-enrollment forms and pay the re-enrollment deposit by the deadline communicated annually. Students with unresolved attendance, behavioral, or financial issues may not be offered re-enrollment.

Re-Enrollment Eligibility

A student’s re-enrollment may be denied or placed under administrative review if any of the following conditions apply. This section consolidates eligibility criteria referenced across multiple digiTIES policies.

  • Unresolved attendance issues – More than 15 unexcused absences in the school year, or classification as a chronic truant under CA Ed Code §48263.6. (ADM-002)
  • Unresolved behavioral issues – Three or more written warnings for unexcused tardiness, or repeated violations of school conduct rules, including repeated tobacco/vaping violations. (STU-002)
  • Unresolved financial issues – Outstanding tuition balance or fees that remain unpaid by the re-enrollment deadline. (ADM-006)
  • Behavioral Review Board determination – A prior suspension, expulsion, or enrollment termination decision resulting from the progressive discipline process. (STU-002)
  • Academic integrity violations – A fourth plagiarism instance in the same course resulting in course failure, or academic suspension pending administrative review. (STU-002)

Families will be notified in writing of any re-enrollment concerns and given an opportunity to address unresolved issues before a final decision is made. The Principal retains final authority over all re-enrollment decisions.

Withdrawal Procedures

  1. Families must submit written withdrawal notice to the school administration at least two weeks in advance.
  2. Failure to provide written notice will result in additional tuition charges per the financial agreement.
  3. Enrollment deposits and registration fees are non-refundable.
  4. Tuition payments already made are non-refundable.
  5. Books and materials are non-returnable once issued.

Student Records Transfer

  • Student records will be transferred to a new school upon written request from the receiving institution.
  • Families may request a copy of their child’s records. A fee of $1 per page applies to printed copies.
  • All record transfers comply with FERPA and ADM-007 – Student Data Privacy Policy.

Student Considered Withdrawn

A student is considered withdrawn when:

  • The family submits written withdrawal notice.
  • The student has 10 or more consecutive unexcused absences without family communication.
  • Tuition payments are more than 10 business days overdue and the account has not been resolved.
